- As a Facilities Coordinator, you will play a critical role in delivering an exceptional workplace experience for employees, guests, and business partners. You will support daily facilities operations, workplace services, and administrative functions while helping maintain a safe, efficient, and welcoming office environment.

You will partner with employees, vendors, landlords, and cross-functional teams to support workplace operations within our New York City office while providing regional support across the Eastern United States, as needed.

What Will Your Responsibilities Be?
Workplace Experience & Customer Service
- Deliver exceptional customer service to employees, guests, and visitors while promoting a positive workplace experience.
- Serve as a primary point of contact for workplace services and facilities-related inquiries.
- Support office hospitality programs, employee engagement activities, and workplace initiatives.
- Coordinate visitor management and reception coverage, as needed.
- Ensure meeting rooms, collaboration spaces, and event venues are prepared and operating effectively.
Facilities Operations
- Support the day-to-day operation and maintenance of office facilities, equipment, and workplace services.
- Monitor workplace conditions and proactively identify opportunities to improve the employee experience.
- Conduct routine facility inspections and workplace audits to ensure operational standards are maintained.
- Coordinate maintenance requests and service calls through established ticketing systems.
- Support emergency preparedness activities, evacuation planning, and business continuity initiatives.
- Assist with workplace moves, reconfigurations, and space planning activities.
Vendor & Property Management Coordination
- Coordinate with vendors, contractors, landlords, and property management teams to support workplace operations and service delivery.
- Monitor vendor performance and ensure services are delivered in accordance with established standards and service level expectations.
- Support workplace service programs including janitorial, mail services, shipping and receiving, transportation, dining, and other employee support services.
- Assist in resolving facility-related issues, service interruptions, and operational concerns.
Administrative & Regional Support
- Review, prioritize, and respond to facilities requests with a strong sense of urgency and professionalism.
- Maintain facility records, operational documentation, and workplace procedures.
- Assist with workplace communications related to office operations, maintenance activities, and employee services.
- Support regional facilities initiatives and provide remote coverage for Eastern U.S. offices, as needed.
- Participate in special projects and continuous improvement initiatives that enhance operational efficiency and workplace effectiveness.
Qualifications:
- Bachelor's degree or equivalent combination of education and experience.
- 3-5+ years of experience in facilities, workplace services, hospitality, office administration, property management, or a related field.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Strong customer service, interpersonal, and organizational skills.
Preferred:
- Experience supporting a corporate office environment.
- Familiarity with facilities management, service request, or workplace management systems.
- Working knowledge of building operations, maintenance practices, and vendor coordination.
- Exposure to mail operations, shipping and receiving, workplace events, hospitality services, or property management.
- Basic understanding of building systems, including HVAC, electrical, plumbing, life safety, and fire protection systems.
As with all roles, Medidata sets ranges based on a number of factors including function, level, candidate expertise and experience, and geographic location. Pay ranges for candidates in locations other than New York City, may differ based on the local market data in that region.
The salary range for positions that will be physically based in New York City Metro area is $66,000-$88,000.
Base pay is one part of the Total Rewards that Medidata provides to compensate and recognize employees for their work. Most sales positions are eligible for a commission on the terms of applicable plan documents, and many of Medidata's non-sales positions are eligible for annual bonuses.
